Join our team as an Assistant
Purpose of the role:
The Assistant role is maintaining an organized and efficient work environment for ABS.
Responsibilities may include managing daily administrative tasks, coordinating meetings, events, team-building activities, and providing support to senior managers with clerical duties.
The Assistant will handle travel arrangements, attendance, expenses, and document preparation, ensuring compliance with company policies. Additionally, they will assist with HR tasks, such as onboarding and travel arrangements for new joiners.
Responsibilities:
Manage daily administrative tasks for ABS team such as:
- welcome guests
- filter/distribute internal and external e-mails and correspondence
- maintain and manage the office stationary
- support organization of internal/external meetings, company events and departmental team building (agenda, invitations, refreshments, accommodation etc., in line with company policies and procedures)
- support with reservation systems (pool cars, meeting rooms etc)
- support with ABS office related tasks such as the inventory stock count, car fleet management, kitchen refill, etc.
Provide clerical assistance for the senior managers:
- prepare business travel claims and expense reports
- provide support with invoices, orders, attendance, cash/card balance and documents signatures incl. notarized signatures
- prepare and coordinate the calendar incl. setting up various meetings
- respond to ad hoc queries from senior management
- Ensure travel and accommodation arrangements for the ABS employees incl. visas and travel expenses, all managed according to the company policies and procedures.
- Provide documents for the accounting team according to company standards (order items and keep records of these in the system, process purchase orders, goods receipt and checking invoices for the selected cost centers, collect and file travel expense forms).
Provide HR support:
- Keep attendance/absence evidence of the ABS employees
- new joiners (preparation of work place, support smooth on-boarding)
- support with travel arrangements for new joiners and leavers (expats).
Promote professional behavior in the working place:
- keep all information confidential
- make sure all information collected and transmitted it is clear, comprehensive, accurate and is up to date
- outputs are prioritized and completed according to customer requirements
- internal/external customer queries are professionally and timeously resolved.
Requirements:
Education:
- Secondary school education as minimum
Years of Experience:
- Minimum 3 years’ experience in an international company
- Relevant knowledge and experience in TA role and of administration duties
- Customer service is an advantage
Language skills/levels:
- Proficiency in Czech, English (B2 level)
Computer literacy requirements:
- Good PC knowledge (MS office, SAP)

ABS encompass a broad range of financial activities designed to support businesses in their day-to-day financial operations, long-term planning, and compliance with regulations. These services are crucial for maintaining financial health, making informed decisions, and achieving the overall financial objectives of the organization. The key outputs of ABS are to provide accounting services including the summarizing and reporting of financial transactions of a business, preparing financial statements, managing accounts payable and receivable, and ensuring compliance with relevant accounting standards and regulations. ABS is also responsible to adhere to multi-jurisdiction financial regulations and reporting requirements, including ensuring compliance with these regulations and ensure accurate and timely reporting to relevant authorities. In addition to this, ABS is to use effectively use financial software and systems to streamline processes, improve efficiency, and enhance data security.
