Asahi UK are currently recruiting for a Logistics Administrator to join our Supply Chain function. 

 

The 3PL Logistics Administrator is responsible for supporting the 3PL Operations team with key administrative and reporting tasks to enable delivery of On Time and In Full service metrics to our customers.

 

Key Accountabilities

 

The 3PL Logistics Administrator is responsible for the following key outputs and accountabilities:

 

Daily Order Management:

 

  • Ensure that sales orders are released via EDI to the 3PL warehouses on time, releasing orders early where necessary to support with transport planning.
  • Optimise the split of sales orders across the warehouses to ensure efficient use of stock.
  • Investigate ‘blocked’ orders after the daily EDI release to 3PLs, aiming to keep the number of “late release orders” to a minimum.
  • Work with the Customer Service team to resolve problem sales orders as quickly as possible so that they can be released promptly for picking.
  • Confirm the daily EDI transmission details to 3PLs to identify and resolve IT interface issues.
  • Communicate short-dated stock allocation requests to 3PLs and ensure that batches are picked accordingly to support with aged stock clearance.
  • Ensure that any changes to orders are communicated effectively to all parties. 
  • Responsible for running the daily PGI report to ensure that orders are post goods issued (shipped) on time and that orders with missing PGI are queried with 3PLs and date changed in the system where necessary. 
  • Ensure that deliveries are billed within the relevant month to support financial reporting. 


Delivery Incident Management:

 

  • Attend daily Operations calls with 3PLs to facilitate smooth communication between teams and the prompt resolution of any issues.
  • Provide timely updates to the Customer Service team so that customers can be kept up to date about delivery delays.
  • Ensure that all 3PL delivery failures are logged correctly against relevant reason codes to enable OTIF KPI reporting.
  • Ensure that delivery failures are fully investigated with the 3PLs in order to support root cause analysis and drive preventative measures, feeding back to the internal supply chain teams where relevant. 
  • Responsible for monitoring the return of PODs by 3PLs and requesting missing documents accordingly. 
  • Responsible for ensuring that customer returns are promptly uplifted and returned to the warehouse.
  • Responsible for processing ‘no collection’ returns in the ERP system to trigger credit memos to customers. 


Invoice Validation:

 

  • Validate 3PL invoice backing sheets by reconciling costs with rate cards and contractual agreements.
  • Responsible for challenging 3PLs on unexpected costs and ensuring that we are not charged for delivery failures.
  • Record ad-hoc exceptional costs as they arise to enable quick and easy invoice validation.
  • Approve invoices in the Concur system.


Overspill warehousing:

 

  • Process manual stock movements in the ERP system for inbound and outbound movements.
  • Monitor inventory at overspill warehouse locations and report stock levels to the wider supply chain.
  • Identify sales orders to service from overspill warehousing to deplete stock levels and alleviate pressure on core warehouses.
  • Communicate order details accordingly and ensure that delivery times can be met.
  • Communicate any delivery issues promptly to the Customer Service team.


Miscellaneous:

 

  • Manage the shared UK Distribution inbox.
  • Provide cover and support for the wider Distribution team.
  • Additional responsibilities as required by the 3PL Operations Controller.
  • Attend customer and sales team meetings where required.
  • Support with the delivery of strategic projects.


Experience Required

 

  • Preferably some relevant experience in the warehouse / logistics industry
  • Good communication and interpersonal skills
  • Customer or supplier relationship management exposure
  • Excellent customer service skills
  • Experience in a fast-paced, high volume, detailed and process driven organisation  
  • System experience in an ERP environment (specific SAP experience desirable)
  • Intermediate Excel skills
  • Highly organised with excellent attention to detail
